System Enhancements & Release Notes

This page tracks monthly enhancements released for two systems. Select a system tab to browse its release history.

Major Projects

  • Site Classification Enhancements:Standardized site classifications which align with geographic boundaries and institutional naming conventions to improve reporting accuracy and consistency, without changing existing access to manage space data.
  • Report Enhancements Enhanced reporting delivers faster performance with improved filtering capabilities, standardized data definitions and streamlined export options for more efficient data analysis. Initial focus is on improved reports for department space assignments and allocations.

Minor Enhancements

  • Floor Plan Legibility Improvements:Floor plans are being standardized to a simplified black color scheme to enhance readability and align with the Space Viewer experience. This month, most Seattle Campus floor plans were converted. Work will soon commence on the remaining campuses / locations.
  • Allocation Key Clarification: Renamed Assignment Key to Allocation Key in the 1.60 Shared Space data view family to avoid confusion with the corresponding field in the 1.40 Room data views. The 1.40 Room field represents space assignments, whereas the 1.60 Shared Space field identifies suballocated spaces, most commonly used for research activities.
  • Data View Name Improvements: Updated the names of multiple data views to provide clearer descriptions of their purpose and improve consistency across the application. These changes are intended to make it easier for users to identify the appropriate data view and better understand the information each view contains.
  • PDF Print Enhancements: Color-coding for Space by College prints has been updated to match the Graphic View Subcommittee’s proposal. Room number labeling has been standardized and Space by Primary Use prints now include the primary use code on the label.

Major Projects

  • FGI for Hospital Space Tracking: Hospital space data is more accurate and aligned with standards, supporting better planning and reporting.

Minor Enhancements

  • Floor Plan Legibility Improvements: Floor plans are being standardized to a simplified black color scheme to enhance readability and align with the Space Viewer experience. This month, Harborview, South Lake Union, and UW Bothell floor plans were fully converted. Conversion of UW Seattle floor plans is currently in progress.
  • Room Height Clearance: Room height clearance can now be captured within Space Manager, enabling better identification of spaces suitable for large equipment requiring significant vertical clearance.
  • Furnished Capacity: The existing capacity field has been renamed to Furnished Capacity to more accurately reflect its intended use. This change represents the first step in a broader initiative to standardize and improve capacity data across Space Manager.

  • System Upgrade: The latest system upgrade improves performance, streamlined icons / fonts and enables future enhancements.

Minor Enhancements

  • Global Search Improvements: Global search results now display building names, helping users quickly confirm locations. The results are now properly sorted to easily located the appropriate space data.
  • Data View Standardization in Space Manager: Consistent layouts and views make the system more predictable and reduce confusion.
  • Release Notes Webpage: A centralized release notes page makes it easier to stay informed about updates.
  • Graphic View Enhancements: Additional visual improvements are planned based on user feedback (solid fill colors for graphic views, reduced clutter with annotations and improved alignment with space viewer).

Major Projects

  • Space Viewer Print Standardization: Printing templates were standardized to enhance consistency, clarity and overall readability of floor plans.

Minor Enhancements

  • Training Module for Running Custom Reports: New training helps users access and create custom reports from the space data stored in the Enterprise Data Warehouse.
  • Allocated Shared Space Editing: Shared spaces within rooms that are assigned to a different unit can now be updated by space managers assigned to the shared space (previously they had to work with space managers responsible for the room).

Major Projects

  • EDW Data Type Corrections: Space and reporting data has been corrected behind the scenes, improving accuracy and consistency across reports and integrations.

Minor Enhancements

  • Add Cost Center to Employee Directory Report: Employee directory reports now include cost center information, reducing manual lookups.
  • Minor Report Enhancements for Numeric Data: Numeric values display more cleanly, improving report readability.

Major Projects

  • API Improvements: System updates which enable improved data reporting for the enterprise data warehouse and administration of Space Manager.

Minor Enhancements

  • IBB Data Extracts and Support: Backend data extracts have been improved, supporting more consistent downstream reporting.
  • Space Viewer Print Modifications: Printed floorplans are clearer and easier to use when shared digitally or as PDFs.
  • Hoteling Desk Tracking: Ability to track office spaces which are being used for hoteling perhaps by the assigned department.

Major Projects

  • New Training Videos for Resource Scheduler: To better support users who primarily work in the Resource Scheduler application, new, task focused training videos have been developed covering the most common activities within the platform.

Minor Enhancements

  • Training Video Voice Standardization: All training videos now use a single, consistent narration voice to provide a more cohesive learning experience.
  • User Guide Accessibility Improvements: The PDF user guide has been updated to enhance accessibility, including the addition of image alt text and improved document navigation.

What to expect in upcoming releases

Space Manager

  • Report Enhancements — Enhanced reporting delivers faster performance with improved filtering capabilities, standardized data definitions and streamlined export options for more efficient data analysis. Continuing to build on previous progress and governance alignment.
  • Space Assignment Enhancements — Updated the system to restrict space reassignments made through Assignment Key and Allocation Key to only those cost centers and cost center hierarchies that the user is authorized to manage. This enhancement helps maintain data integrity and prevents inadvertent reassignment of spaces outside a user's area of responsibility.

Resource Scheduler

  • Platform Consolidation — Spaces in UW Tower and Population Health are being migrated to the enterprise instance of the scheduling platform to support a more consistent and streamlined user experience.
  • Check-In Process Improvements — Users will be able to check into reservations with a single click directly from an email notification.
